| Key Responsibilities | • Manage Managing Director’s calendars and schedule appointments, organize meeting arrangements. • Organize travel arrangements– prepare itinerary, arrange supplies & compile expense reports • Ensure screening and appropriate routing/response to communications and transactions for Managing Director’s office when Managing Director is away from office. • Handle phone calls and messages for Managing Director, screen incoming calls and correspondence and respond independently when possible, arrange “call-backs”, route calls elsewhere as needed and resolve problems where possible. • Provide secretarial support including copying, filing, preparing and distributing (internal & external) correspondence / e-mails, memos, letters, periodic computer file backups, mail and courier shipments as required • Prepare presentations, reports and distribute as required • Create and maintain confidential files, maintain/update organization charts & directories. • Participate in administrative staff meetings, other meetings and seminars as required. • Order and maintain adequate inventory of office equipment and supplies, manage purchase requisitions, payment requests and other related forms and documents as required. • Prepare agendas, notices, minutes and resolutions for corporate meetings. • Review, validate and process incoming invoices (for Managing Director and functional leaders) for payments, prepare Managing Director’s expense reports and monthly medical reimbursements; reconcile corporate credit card account(s) • Perform other position related duties as specified by Managing Director. |
| Who we are looking for | Education and Experience • Graduate in any discipline from a reputed institution. • 3 to 5 years of experience as an administrative / executive assistant (with at least 1 years preferably in MNC)
Other Attributes:
• Strong communication and interpersonal skills with a proactive approach. • Strong networking ability with high negotiation skill. • Ability to work under stressful situation. • Advance level of communication skills (in both Bangla and English) is mandatory.
Technical Skills and Competencies
• Good problem solving skills. • Self directed, displays initiative and can work independently • Organizational and Time management skills: multi-tasking and prioritizing, planning work activities efficiently to meet deadlines and high level goals, ability to prioritize and respond to confidential and time sensitive information • Team player with proven ability to work under pressure and ability to maintain confidentiality • Strong attention to detail with excellent follow-up. • Adaptability to changes in the work environment - manages competing demands and is able to deal with frequent change, delays or unexpected events. • Excellent working knowledge of Microsoft office Products
